How recipients review and approve a document
Explain what a client or supplier should do with a shared document link.
Before you start
The sender must have shared the correct document link or email with the intended recipient.
Step by step
Open the document link
The recipient opens the email link or shared URL to view the document. They do not need to navigate your internal workspace.
Review the scope and totals
Read the business and recipient details, line items, terms, schedule, and any change comparison. Contact the sender if something is unclear.
Use the offered decision controls
When approval or decline is available, choose the intended action and complete any required name and signature fields. Read the confirmation before submitting.
Check the resulting status
After submitting, check the document’s visible decision. The sender can follow its updated status and any available activity.
What happens next
The document records the submitted decision when successful. Viewing a page alone does not approve it, and approval alone does not necessarily pay it.
Good to know
A purchase order is sent to a supplier; an estimate or invoice is typically sent to a client. The available actions depend on document type and current status.
