Turn an estimate into an invoice

Move agreed work into billing without retyping the scope.

Before you start

Open the correct estimate and check its approval and payment history first.

  1. Actions contains document-specific operations.
  2. Download a copy or copy the live document link.
  3. Review Preview before using Send.

Step by step

  1. Review the source estimate

    Confirm the client, project, items, and total. Resolve outstanding scope questions before billing.

  2. Use invoice conversion

    Open Actions and choose the available invoice conversion action. If a linked invoice already exists, open it instead of creating duplicate billing.

  3. Check the invoice

    Review the resulting invoice’s items, payment schedule, recipient, and balance. Confirm any payments already associated with the work are reflected correctly.

  4. Send and follow up

    Preview and send the invoice when it is ready. Use the invoice’s payment information to track what is still due.

What happens next

The invoice is connected to the original estimate. The estimate remains the proposal record and the invoice becomes the billing record.

Good to know

Do not log the same payment again just because it appears on a converted document. For additional approved scope, use a change order.
